Erasmus Work Placement
!!! INFORMATION AND OFFERS FOR INCOMING STUDENTS OF WORK PLACEMENT IS BELOW !!!
INFORMATION FOR OUTGOING STUDENTS
Name of the traineeship program which students apply in order to have vocational training and/or get working experience in a company/institution which is located in a EU member country.
This activity was accepted as “Placement Projects for High-Education Students” in the scope of Leonardo da Vinci II period A type projects. However, through the implementation of 2007-2013 Life-Long Learning Program, its name has been changed to ‘Erasmus Work Placement’.
Istanbul Kültür University, being among the first universities in Turkey to receive the Erasmus Charter in 2004, has also been awarded with it for a second time as the Life-Long-Learning Extended Charter (2007-2013). Consequently, it is one of the first universities in Turkey, which has initiated this new activity of Erasmus Work Placements.
Who Can Apply?
- Vocational School students
- Undergraduate, Master and PhD students
- Each student can participate in Erasmus Work Placement program receiving grant only once during his/her high-education period. However, a student can apply and be selected for a second time to participate in Erasmus Work Placement WITHOUT A GRANT !!.
- Each student can participate both in Erasmus Student Exchange and Erasmus Work Placement.
Host Institution Selection
The following institutions can be suitable for students of Erasmus Work Placement:
- Enterprises, Business Firms
- Training and Education Centers
- Research Centers
- Other Institutions
However; diplomatic agencies and the institutions that hold EU programs cannot be selected as the host institutions within Erasmus Work Placement.

APPLICATION PROCEDURE FOR OUTGOING ERASMUS STUDENT
|
Placement Duration
- 3-12 months for Undergraduate, Master and PhD students
- Minimum 2 months for Vocational School students
2011/2012 Academic Year Erasmus Work Placement Duration
- 3 months for IKU Undergraduate, Master and PhD students in 1 July-30 September 2013
- 2 months for IKU Vocational School students in 1 July-30 September 2013
- Only for mobilities that start before 1 July 2013, the work placement may exceed 30 September 2013. However, even in those situations the mobility may not exceed 30 October 2013.

The application deadline for 2012/2013 Academic Year Erasmus Work Placement for IKU students is
19 February 2013
Deadline for submitting Letter of Acceptance / Invitation / Intention to EIC is
01 April 2013!!
APPLICATION CRITERIA
1. Cumulative GPA:
- Vocational School and Undergraduate students-required cumulative GPA: min 2.20/4.00
- Master and PhD students- required cumulative GPA: min 2.50/4.00
2. Students are expected to find the institutions of internship by themselves and submit the letter of intention to the European and International Center no later than 01 April 2013. In order to see a sample of letter of intention, please see Required Documents below.
Please remember that the students should submit the application form with their CV, photo and transcript to their Erasmus Departmental Coordinators until 19 February 2013 and Letter of Intention to European and International Center until 01April 2013.
REQUIRED DOCUMENTS
Outgoing IKU students should first contact the firm/institution and their departmental Erasmus coordinators to request a Letter of Intention (acceptance) from the firm/institution and to determine the details of their training program abroad. You can reach departmental Erasmus Coordinator list here.
Letter of Intention
To be prepared and signed by the company/institution executive (should indicate his/her title) to prove student’s acceptance and in which his/her personal information, planned dates of start and end of the placement period and the detailed program of the traineeship period- tasks of the trainee and knowledge, skills to be acquired should be written (Download the sample letter of intention in word-format)
Candidate outgoing student for Erasmus Work Placement should fill in the application form and the CV in European format, which are accessible on the above links. Together with these documents, the student should deliver his/her letter of intention in original format, 1 photo and 1 transcript to the Erasmus Department Coordinator.
Erasmus Department Coordinator should check for the compatibility of the letter of intentions and request to change them if necessary. Then he/she delivers the documents of all students in the department to the European and International Center until the date of application deadline with an official letter that includes the name list of all these candidate students who have applied for Erasmus Work Placement program.
Erasmus Department Coordinator should also keep 1 copy of these documents in his/her file.
SELECTION PROCESS
Foreign Language Exam
All candidate students should take the foriegn language exam prepared by IKU Foreign Languages Center. Students should have the exam in the official language of the host institution, which they need to speak during their placement period.
Dates of Foreign Language Exam
German Exam: 21 February 2013
English Exam: 23 February 2013
French Exam: 25 February 2013
Places of the exam will be announced to the applicants subsequent to submittance of their applications.
Total Erasmus Score
Cumulative GPA % 55 + Foreign Language Score % 45
Once the total score is calculated, European and International Center announces required minimum Erasmus point. The students with point above the Erasmus minimum point will have the right to benefit from Erasmus Student Work Placement on grant.
In case, the student fulfills the criteria, yet still is not selected for grant allocation, S/he has the right to be an Erasmus Intern, through not on grant.
SELECTION CRITERIA
- LLP/Erasmus Institutional Coordinator, collects and checks the compatibility of each letter of intention.
- LLP/Erasmus Institutional Coordinator announces the list of outgoing students who have gained the right to participate in Erasmus Work Placement program in accordance with the quotas set by the National Agency.
TRAINING AGREEMENT
Outgoing students of Erasmus Work Placement should prepare their detailed training programs with their Erasmus Department Coordinators and training supervisors abroad for their specified training periods. This document is called as the Training Agreement in which knowledge, skills and competence to be acquired, tasks of the trainee and academic recognition (ECTS) should also be described.(Download "Training Agreement and Quality Commitment" in word format) In departments which require compulsory internship in the curriculum, whether Erasmus Work Placement can be regarded as this compulsory internship or not is up to the decision of the department heads.
Training agreement should be approved by all parties including the Erasmus Department Coordinator, LLP/Erasmus Institutional Coordinator, training supervisor abroad and the student. It should be prepared as 3 copies such that the student and the Erasmus Department Coordinator would have1 copy each and the other copy would be given to the European and International Center (EIC).
ECTS
Erasmus Work Placement should have full academic recognition by all departments through ECTS credits, which should be recorded on the diploma supplement of the student. ECTS amount is up to the decision of Erasmus Department Coordinators and the Department Heads. ECTS means the total number of credits given for the efforts of the student and it can change according to the different personal training programs (whole time spent for active work during the traineeship) of Erasmus Work Placement students.
PREPARATION OF ERASMUS WORK PLACEMENT STUDENTS
EIC informs the outgoing students of Erasmus Work Placement program about the Training Agreement, Placement Contract and the Quality Commitment. Outgoing students should have placement contract signed by both the student and LLP/Erasmus Institutional Coordinator. This contract specifies the issues such as the name of the involving parties, placement duration, place and financial support. Quality Commitment is the name of the standard document which defines the role and responsibilities of the home (sending) and the host (receiving) institutions.
LLP/Erasmus Institutional Coordinator calculates the Erasmus grants to be given to the all outgoing students of Work Placement according to the placement duration and the list of financial support amount identified by the National Agency. EIC provides the students with the opening of their bank accounts and the payment of the Erasmus grants they deserve. Payments are realized through Rectorate approval and money transfer after students give their training agreements and placement contracts, signed by all parties, to the EIC.
Erasmus Work Placement Grants According to the Categories of Countries
Monthly Erasmus grants are determined before the beginning of the new acacemic year according to the national priorities and criteria set by National Agency.
In 2008/2009 academic year, 27 EU countries are divided into four different groups categorised according to their cost of living expenses indices. The following amount of Erasmus Work Placement grants have been determined for each category of countries.

!!! GRANT PAYMENTS FOR WORK PLACEMENT IN THE 2012 - 2013 ACADEMIC YEAR WILL BE CALCULATED IN ACCORDANCE WITH THE ARRIVAL AND DEPARTURE DATES STAMPED ON THE PASSPORT !!!
*If the placement period is up to 12 weeks (less than 3 months), 75% of the travel cost is paid to the student.
Erasmus grant payments are made in 2 installments. First installment amount is calculated by the National Agency as the amount not to exceed the 80% of the total amount. It is paid before the student’s departure. Second installment is paid when the student comes back and gives the Student Final Report and the Certificate of Participation to the EIC. According to the beginning and ending dates of the placement period specified on the student’s Certificate of Participation, total amount of the Erasmus grant is calculated again. Students can receive grants only for their Erasmus Work Placement periods abroad.
Erasmus students make their prepations for their work placement abroad (obtaining visa, organization of documents, accomodation) by themselves, they can consult their Erasmus Department Coordinators and EIC when they have problems. In order to help the student with the visa applications, a document will be given by the EIC to the student indicating that he/she is an Erasmus Work Placement student. Students can get financial contribution (salary) during their work placement abroad, however, it depends on the firm/institution.

APPLICATION PROCEDURE FOR INCOMING ERASMUS STUDENT

Erasmus Student should provide the following documents:

Your application form should be signed both by you and your Erasmus Departmental Coordinator at your home university.

Only after we receive these documents, the acceptance letter will be sent to students (to the address indicated in the application forms).

| Accomodation |
- The University owns two dormitories, one for ladies and one for boys (The for the fees, facilities and reservations please contact European and International Center).
- The Department, offering the placement, may also help in finding private accommodation (house-sharing) for international/Erasmus students, if stated on the offer. Yet, no guarantee can be given concerning accommodation placement.
